Last Working Day Email: The Do’s, Don'ts and 14 Copy-Worthy Templates 

It’s D-Day — the last working day for you in the office. Do not for a second think that your last day will be a walk in the park as there is usually a lot to do. You’ll be engrossed in officially surrendering over company property, your access card, filling out forms, meeting the admin and HR teams, maybe helping your replacement (if there’s one) understand how work is done, actually performing your duties for the last time, meetings with your team leader, manager, or business head and then indulging in some merriment with co-workers.

Perhaps, of all the activities listed on your last-day to-do-list, the most important is saying goodbye to everyone you know or have worked with via an email. The goodbye email is usually sent to each coworker on the last working day or week. Bidding adieu is not the only agenda of a goodbye mail; you also establish meaningful connections with people who can be of great help in the future.

Here’s what you need to keep in mind when drafting your goodbye mail. 

  1. The gaffer must know 

Always inform your business head or manager first first about your resignation before telling your coworkers or sending goodbye emails.

  1. Absolute brevity

Keep the emails absolutely short and simple. You can mention a fond memory you share with the email recipient. Sharing your future plans is also totally fine as long as you don’t explain it in detail.

  1. No room for negativity

If the reason behind your resignation is your supervisor, coworker, or the nature of work, then skip it in the mail.

  1. Only for a chosen few

The email must be sent to coworkers or employees you know very well. You can either send one email to a group of coworkers/employees or individually.

  1. Do not disappear

A) Recipient: Clients

Are you the point of contact for clients? If so, it’s professional to let them know in advance that you will be leaving your position in the company. Here are two templates.

Template 1:

I’m touching base with you to let you know that I have thoroughly enjoyed working with you during my time here. In fact, it’s been absolutely wonderful getting to know you better!

As my exit draws nearer, I’d like to know if there's anything needed from my end. I’ll be more than happy to tie any loose ends before my exit.

Template 2:

Hello [ Enter Name of the client ],

One of the perks of working here was the opportunity that I was given to collaborate with clients such as yourself. B) Recipient: Manager

Sending out a goodbye mail to your immediate manager, business head, or boss can be tricky. The two of you could’ve shared either a close or distant relationship. You should still let him or her know that you will be leaving soon. In fact, your superior must be one of the first few to know. Even after you move on, you can never really say when you might bump into each other.

C) Recipient: Subordinate

Since you’re sending a farewell email to your boss, it’s only fair to do the same to other employees who worked under you. Much of what you write in the email will depend on the personal or professional relationship that you shared with your subordinates. D) Recipient: Close Colleague

There are co-workers. And amongst them are a few favourites with whom you share a special bond. They’re part-colleagues, part-friends who will either calm you down when you’re venting your frustration or join you. These are the people with whom you might spend time and share space after work hours. So your goodbye email for them will be a bit more casual than other entries on this list as depicted by the following two templates.

Template 1:

F) Recipient: Senior Co-workers

Co-workers, clients, managers aren't the ones you can reach out to about your impending departure. You can send your goodbyes to external agencies or vendors you work with. What else should you keep in mind when writing goodbye mails?

You never know when your connections might come handy. Therefore, it’s good practice to leave your contact information like email address, LinkedIN ID, and phone number in the mail body. And when you’re sending your mails, try to personalize the messages for a particular recipient — do not send one mail to everyone. Try to sound as gracious and professional as possible, keeping in mind not to burn any bridges in the process.
